GENERAL INFORMATION Personal Safety and Security


AAEP works diligently to provide a safe and secure environ- ment at its meetings and events. Nevertheless, any urban destination worldwide such as San Antonio faces challenges with unhealthy street behavior and safety concerns. Here are some suggestions to ensure that your stay is safe and enjoyable.


General Safety Tips


• Carry your wallet in the inside front pocket of your pants or your jacket. Carry shoulder bags or other hand-bags under your arm, not by the handle. While sitting, keep the bag in your lap. In a restaurant, keep your purse in your lap, not over the back of the chair.


• Be alert, particularly in crowded situations. Staged distractions are a favorite ploy of pickpockets.


• Keep your eyes up, your ears open, and your phone down on city streets and on public transportation. This will lower the chance of theft and keep you safe on busy streets.


• Upon leaving a meeting or convention, be sure to remove your attendee badge and put it away before leaving the building.


Sightseeing


• Plan your route in advance. Consult maps before leaving your hotel.


• Locate places on your route where you can go for help, if necessary.


• Be aware of your surroundings. Leave an area if it appears unsafe.


• Ask shopkeepers, hotel staff, or police and traffic officers for assistance if necessary.

AAEP is committed to providing a safe, productive, and welcoming environment for all convention attendees. All participants, including registered attendees, speakers, exhibi- tors, sponsors, guests, service providers, and AAEP staff, are expected to behave responsibly in all AAEP activities in which they participate.


Examples of unacceptable behavior include, but are not limited to: • Harassment, intimidation, or discrimination in any form. • Physical or verbal abuse of an individual participating in or assisting with any AAEP convention activity.


• Verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any convention participant.


• Disruption of presentations at sessions, in the trade show, or at other events organized by AAEP at the meeting venue, hotels, or other AAEP-contracted facilities.


AAEP has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants at our meetings. If you experience harassment or witness any incidents of unacceptable behavior, the AAEP asks that you inform Lori Rawls, AAEP’s director of meetings and operations, either on-site or at (859) 537-1443 so that appropriate action can be taken.


AAEP reserves the right to take any action deemed necessary and appropriate, including immediate removal from the con- vention without warning or refund, in response to any incident of unacceptable behavior, and AAEP reserves the right to prohibit attendance at any future meeting.
